How to Prepare a Monthly Staff Training Compliance Report

A useful monthly training report is a dated view of the live records, not a manually improved percentage. It should state the scope and definitions, show the exceptions and let an authorised reader trace each result.

Agree the scope and denominator

State which staff, sites, teams and training requirements are included. Use the same current requirement rules as the Training Matrix so the report does not produce a second compliance calculation.

Record the reporting date and any exclusions. Leavers, new starters, approved not-applicable decisions and missing role assignments should be handled by an agreed rule rather than silently removed.

Export the staff-level detail

Include enough detail to answer who needs action and why. A CSV export is useful because the receiving organisation can filter it without changing the source records.

The core fields are staff name, organisational context, training item, required status, completion date, expiry or renewal date, compliance status, evidence status and next action. Use access controls appropriate to the personal data in the export.

Add a short management summary

Summarise the current coverage, overdue records, due-soon renewals and missing evidence, then explain the material changes since the previous report. Keep the staff-level export beside the summary so the headline can be checked.

Separate a genuine training gap from a data-quality problem. An overdue requirement, an unassigned role and an evidence decision waiting for review all need attention, but they need different action.

Make the next report repeatable

Save the agreed filters or reporting view and generate the next report from current records. Do not copy the previous month's spreadsheet and overwrite selected cells; that loses traceability and carries old errors forward.

Retain the issued report according to your governance rules, together with its scope and generated date. The report supports oversight, but it does not by itself certify compliance or replace review of the underlying records.

Which format should a monthly training report use?

CSV is useful for staff-level detail and filtering; PDF can suit a fixed summary. If a commissioner, client or regulator provides a required format, use that format and keep the source scope and definitions clear.

Should the report include staff names?

Include named records when the recipient is authorised and needs person-level follow-up. Use an aggregate summary where names are not necessary, and protect exports according to your data-access rules.

Does a high compliance percentage prove every record is correct?

No. The percentage depends on the requirements, denominator and record quality. Review overdue items, missing evidence, awaiting-review decisions and exclusions alongside the headline.
