Sector pressure

What education teams need to keep visible

Keeping Children Safe in Education 2025 requires all staff to receive appropriate safeguarding and child-protection training, including online safety, at induction. That training must be regularly updated, with safeguarding updates provided as required and at least annually. A completion tick without the date, staff group and evidence does not give leaders a reliable view.

Recruitment checks are a separate problem. DBS certificates do not have an official expiry date: the school decides any recheck or Update Service process, while the statutory single central record remains the authoritative recruitment-check record. SkillProof can hold selected workforce check details, but it does not replace that register or carry out checks.

SkillProof gives schools, colleges and trusts one live record of who is trained, who is overdue, and where the evidence is - ready whenever it's needed.

01

KCSIE safeguarding cadence: Record induction training, regular refreshers and the safeguarding updates staff receive at least annually, with evidence against the right person.

02

Safer-recruitment checks: Keep only the DBS and other check details the organisation is entitled to hold, with local review dates where used; SkillProof does not conduct checks or determine eligibility.

03

Different responsibilities by role: DSLs, governors, teachers, support staff, contractors and volunteers do not all need the same training record or review cycle.

04

CPD and appraisal records sitting outside central view: Professional development and appraisal activity often lives with individuals or departments, making trust-wide or school-wide reporting slow to pull together.

05

Multi-academy trusts needing one standard: Trusts managing many schools struggle to hold every site to the same compliance standard and to roll up a single, current picture across all of them.

Connected workflow

From staff requirement to reviewable school evidence

The school, trust or provider decides what each role requires. SkillProof keeps the assigned requirement, evidence and next review connected.

  1. Step 1

    Set by role

Assign safeguarding, induction and other training requirements to the relevant staff groups.

  2. Step 2

    Monitor the date

Keep renewal dates and outstanding requirements visible to the responsible manager.

  3. Step 3

    Hold the evidence

Connect certificates or other proof to the requirement and staff record.

  4. Step 4

    Review and report

Check gaps by school, role or team and export the current position when needed.

Records to manage

Education records that need more than a completion tick

Feature by feature

How SkillProof handles the work

The useful detail is not simply that a person attended training. Leaders need the role requirement, date, evidence and next action.

1

Safeguarding Training

Specific problem

KCSIE 2025 requires appropriate safeguarding and child-protection training, including online safety, at induction, regular updates and safeguarding updates at least annually.

How SkillProof helps

Track the assigned induction or refresher requirement, completion, update date and evidence for each person.

2

DBS Checks

Specific problem

Check information can be separated from the staff training record.

How SkillProof helps

Record the check details your organisation lawfully chooses to hold. SkillProof does not run DBS checks or decide eligibility.

3

CPD Tracking

Specific problem

Learning activity and evidence are often collected in separate forms or folders.

How SkillProof helps

Record CPD activity, hours, categories and evidence against the staff profile.

4

Statutory Induction

Specific problem

New starters need several requirements completed and evidenced in a defined period.

How SkillProof helps

Assign the relevant induction requirements and see what is complete or still outstanding.

5

Training Matrix

Specific problem

Leaders need one view across schools, departments, roles and requirements.

How SkillProof helps

Filter the matrix to see complete, due-soon, overdue and missing-evidence records.

6

Evidence Records

Specific problem

A completion record is difficult to rely on when the certificate or proof cannot be found.

How SkillProof helps

Keep the evidence beside the training, check or development record it supports.

7

Inspection Reports

Specific problem

Review preparation can require several trackers to be combined manually.

How SkillProof helps

Export a scoped view of current records and gaps for internal or inspection preparation.

Questions

Education questions

Straight answers about what SkillProof records, what your team remains responsible for and how the workflow works.

Can SkillProof track safeguarding training for every staff member?

Yes. Safeguarding training is set up as a training item with renewal cycles and evidence requirements, so you can see at a glance who is current, who is due a refresher and who is overdue - across one school or a whole trust.

Does it track DBS checks?

SkillProof can record the DBS check details and local review dates your organisation lawfully chooses to hold. DBS certificates have no official expiry date, and SkillProof does not run checks, decide eligibility or replace the school's statutory single central record.

Is SkillProof a training course provider?

No. SkillProof doesn't deliver courses - it's the system of record that tracks whether training has been done, holds the evidence, and shows what's overdue. It works alongside whichever training providers you already use.

Can it work across a multi-academy trust?

Yes. Trusts can use SkillProof to hold every school to one standard, with reporting that rolls up across all sites and filters down to a single school, department or person.

Can it help us prepare for inspection?

SkillProof can export a current view of safeguarding training, selected recruitment-check status, role-based training and CPD. It helps prepare workforce records for review but does not replace safeguarding case management, the statutory single central record or the school's own inspection judgement.

How do staff submit their certificates?

Staff receive a request and upload from a phone or computer - no app to install. You review and approve, and the certificate links to the right training record automatically.
