A proportionate charity workforce record

A proportionate training record for staff and volunteers

Start with the roles your charity needs to track, then connect induction, training dates and evidence. Each coordinator can follow up on the records their access permits.

  1. Define the role

Separate staff, volunteer and other role groups that need different requirements.

  2. Assign the record

Add induction, safeguarding or other training required for that role.

  3. Collect the evidence

Request and review the certificate or proof against the right person and requirement.

  4. Report what matters

Give managers or trustees a scoped view without exposing unnecessary staff detail.

Where SkillProof fits.

SkillProof helps charities organise the workforce and volunteer training records they choose to hold. It does not determine DBS eligibility, replace safeguarding case management or guarantee regulatory compliance.

Charities & Not-for-Profits questions, answered clearly.

Can SkillProof track volunteers as well as staff?

Yes. Keep staff and volunteers in the People Directory and apply the requirements your charity selects for each role. They share a record structure without needing the same training checklist.

Do volunteer records count towards the plan's staff capacity?

Yes. Active volunteer records count towards staff capacity alongside active employee records. Include the volunteers you intend to track when choosing a plan. Access is controlled by the person's account role and permissions, not by whether their work is paid.

Can automatic reminders help a small coordinating team?

Yes. Starter includes standard automated training due and overdue reminders. Growth adds configurable and cross-module reminder workflows, manager access and Audit Packs. Your coordinators still review evidence and handle any follow-up that needs a decision.

Can it track safeguarding and DBS?

SkillProof can track safeguarding training and the DBS check details your charity lawfully chooses to hold for eligible roles. It does not decide eligibility, run DBS checks or treat a DBS certificate as having an official expiry date.

Is it manageable for a small admin team?

Yes. SkillProof is built to reduce manual chasing - reminders, evidence requests and the live matrix do the work that would otherwise fall to one person and a spreadsheet.

Can it produce reports for trustees and funders?

Yes. You can export scoped reports and evidence packs from the records held in SkillProof for trustee, governance or funder review. The charity still decides whether the output answers the request and remains responsible for its safeguarding decisions.

Is SkillProof a training course provider?

No. SkillProof can create and deliver the charity's own internal courses, then connect their results to external training, requirements and evidence. It does not supply accredited course content or award qualifications.

How do staff and volunteers upload evidence?

They receive a request and upload from a phone or computer - no app to install. An authorised reviewer checks the upload and keeps it with the record it supports.
