Define what staff can do
Employees should be able to see their own assigned learning, expiring documents, evidence requests and development actions. Give them a direct route to complete learning, upload a replacement, provide evidence or respond to a review request.
Keep approval and exceptional decisions with the authorised role. An employee supplying a document is different from the organisation accepting it as current.

Make every reminder actionable
A reminder should name the record, the date and the action required. The link should open the relevant personal task rather than a general dashboard where the employee must search again.
Use a small, configurable sequence before the due date, then an overdue follow-up. Too many messages train people to ignore them; too few leave managers chasing after the deadline.

Give managers exceptions, not another inbox
Managers need a scoped view of overdue, rejected and awaiting-review work for the people they manage. They should not be copied into every successful reminder or routine completion.
Use the Action Centre and operational reports as the shared follow-up list. This keeps ownership visible when responsibilities change and prevents one coordinator's email inbox becoming the real system.
Measure whether self-service is working
Review how many tasks are completed before the due date, how long submissions wait for review and which requirements are repeatedly rejected. These measures reveal whether instructions, reminder timing or reviewer capacity need attention.
Keep alternative support available for staff who cannot use the normal digital route. Self-service should reduce avoidable administration without blocking a valid record from being supplied another way.
