1.Who provides the service
SkillProof Personal is provided by OneProof Ltd, trading as SkillProof. OneProof Ltd is registered in England and Wales, company number 17334107. Our registered office and postal contact address is 124 City Road, London, EC1V 2NX, United Kingdom.
Contact us at [email protected] about your account, a cancellation, a refund, a complaint or your personal data.
These terms govern your Personal account. Our business Terms of Service, business Billing and Cancellation Policy and employer workspace agreement do not govern it. Your employer's agreement covers its workspace, not your Personal account.
2.Who can use Personal
You must be at least 18 and have a billing address in the United Kingdom, Jersey, Guernsey or the Isle of Man. Jersey, Guernsey and the Isle of Man have their own legal systems and are not part of the United Kingdom.
Personal is for one person keeping their own records. It is not an account for managing other people's records or an organisation's compliance. Use an email address that does not already sign in to an employer's SkillProof workspace.
These terms apply whether you buy mainly for private purposes or for your profession or business. We give every Personal customer the contractual rights expressly stated here. Consumer legislation applies where its legal conditions are met; describing the account as Personal does not determine your statutory status.
3.What the service provides
Personal provides a browser-based place to keep your professional registrations and checks, certificates and training, continuing professional development, reflections and documents. You can add dates and supporting files, review the records you have entered, download your records and choose information to share through a link.
The service includes email reminders for recorded expiry dates and the reminder settings associated with your records. We will provide this feature with reasonable care and skill. Email may be delayed or filtered, and a reminder depends on an accurate date and current email address. Keep your own record of important deadlines as well.
Trackers count the information you enter. Due-soon records can still be in date, and undated records are excluded from the dated-record percentage. A percentage, tracker or reminder does not certify that you have met a professional or legal requirement.
We do not check, verify or approve the accuracy, authenticity, completeness or professional sufficiency of records you add. We are not connected to or endorsed by the NMC, HCPC or another regulator. You remain responsible for your registration, professional decisions and the requirements that apply to your work.
You need an internet connection and a browser capable of using the service. No native app is required. Tell us if a technical issue prevents you from using a feature we have promised.
4.Your account and uploads
Keep your sign-in details secure. Tell us promptly if you believe someone else has accessed your account. We will assess reports of unauthorised access and take proportionate protective action.
Only add information about yourself that you are entitled to store and share. Do not include identifying information about patients, clients, people you support or colleagues in a reflection or other record. Do not upload unlawful material, material that infringes another person's rights or malware.
Your rights in your records remain yours. You give us permission to host, organise, reproduce and transmit your records only as needed to provide the functions you request, maintain the service and meet the lawful purposes explained in the Personal privacy notice. This permission is not a sale of your records and does not replace any consent or other condition required by data-protection law.
Personal does not support storing health records, DBS certificates or criminal-record results. Do not upload those files or put health details or criminal-record findings into notes, reflections or other records. You can keep a DBS certificate number and relevant dates in the designated tracker without adding the certificate or its result. Ordinary professional training certificates remain supported where they do not contain excluded information.
We discourage uploading passport or driving-licence copies. Use a reference or date where that meets your need. These identity copies are discouraged rather than categorically prohibited; the same rules against excluded content still apply.
DBS tracker information is personal data and may require additional protection in context. Any consent requested for keeping or sharing that tracker information is separate from accepting these terms. It does not authorise certificate files, results or health information.
5.Free trial and the paid contract
Your free account arrangement begins when we accept your signup and create your Personal account. The trial lasts 14 days. We do not require card details for it and do not turn it into a paid plan automatically. You can end the free arrangement at any time without a subscription charge.
When the trial ends, editing requires a paid plan. Viewing and downloading are subject to the recovery and deletion arrangements in section 14. We will tell you before deleting records under those arrangements.
Choosing a paid plan is a separate order. Your paid contract is made when we accept that order and provide a confirmation addressed to you in a form you can keep unchanged. A card authorisation, an immediate-start request or a saved consent record alone is not our acceptance.
Before you place a paid order we will show the plan, the amount due, billing interval, automatic renewal, how to end it and the applicable cancellation and refund information. We will provide the required contract information and cancellation form on a durable medium before the paid service begins. We will not retain a payment for an order we decline.
A paid contract continues through its agreed billing periods until ended under these terms. A tariff change or ordinary renewal does not, by itself, represent that a new statutory cooling-off period has started. If the law treats a transaction as a new contract, its legal consequences still apply.
6.Prices and automatic renewal
The standard Personal prices are:
- Monthly: £9.99 for each monthly billing period.
- Yearly: £59.88 for each yearly billing period, paid as one annual amount. This is equivalent to £4.99 a month.
- Paying yearly costs £60 less than making 12 monthly payments at £9.99.
These are the total standard subscription prices charged by us. We do not add a separate tax or compulsory service fee to those displayed totals. Any different amount caused by a credit, agreed adjustment or price change must be shown before you commit to it. This statement does not describe our tax-registration status.
Your plan renews automatically for the same billing interval unless you stop renewal. Payment is due at the beginning of each interval. Your billing information will identify the amount and next payment date. Where a monthly anniversary does not occur in a particular month, the billing date shown for that month applies.
Stripe handles card payments. We do not receive your full card number. You must use a payment method you are authorised to use and keep the necessary billing details up to date.
7.Changing monthly and yearly plans
Before you confirm a switch we will show its effective date, the amount payable now, any credit applied and the next recurring amount and date.
A switch from yearly to monthly takes effect at your next renewal. You keep the yearly plan until then. Scheduling it is not an immediate cash refund of the existing yearly payment. You can contact us before the effective date if you want to withdraw a scheduled switch; this does not prevent you stopping renewal altogether.
A switch from monthly to yearly takes effect on the date shown before you confirm it. Any adjustment or credit is included in that summary. The additional refund promise in section 9 covers an actual payment for a switch to yearly. A credit or zero-paid invoice does not itself create a cash payment to refund.
A later switch does not remove an existing statutory right or an eligible claim relating to an earlier covered payment. If more than one transaction is involved, we will explain the payments, credits, any previous refunds and the resulting refund calculation.
8.Your initial cancellation right
Every Personal customer may cancel their first paid contract without giving a reason until the end of 14 calendar days after the day that contract is made. We give this right contractually even if you are not a statutory consumer. We do not deduct for use of the service during this contractual period.
Where statutory consumer cancellation rules apply, you also have the rights set out in the cancellation instructions in Document 2. Any longer applicable statutory period or more favourable mandatory right remains available. The first paid contract, the date of payment and a renewal are different events.
If you want the paid service to start during a cancellation period, we will ask for your express request. Merely starting an ongoing service does not mean that we have fully performed it or that you have given up your cancellation rights. We do not ask you to waive the initial contractual right in this section.
You may notify us at [email protected], write to our postal address or use the cancellation form. You do not have to use a particular button, have a paid account, provide a reason or request a statutory refund separately. A clear statement that you wish to cancel is enough. Send it before the applicable deadline.
9.Our additional full-refund promise
Our additional change-of-mind promise covers:
- your first payment for your first Personal paid plan;
- a yearly renewal payment; and
- a payment for a switch to yearly.
It does not cover an ordinary monthly renewal payment or a switch to monthly. This exclusion concerns only this additional offer. It does not remove your rights under section 8 or any statutory cancellation, defective-service or other legal remedy.
For this promise, the deadline is 11.59 pm United Kingdom local time on the fourteenth calendar day after the day the covered payment is made. The day of payment is not counted. If your initial contractual or statutory cancellation period ends later, that later applicable right remains available.
Tell us before the deadline that you want to cancel and receive the eligible refund. You can use an available “Cancel and refund” control, email us or use the form. A missing control or a payment-provider problem does not remove your right to notify us.
We refund the covered amount actually paid in full, less any part of that same payment already refunded. We do not deduct a usage fee under this offer. Where unused account credit represents the same amount being refunded in cash, we will remove the overlapping credit and explain the calculation. We do not force you to accept credit instead of a cash refund due under this promise.
This promise does not restart merely because you reopen an account, resume an existing plan or change its billing interval. A fresh statutory right or a separate express offer will still be honoured.
10.What happens when you cancel and receive a refund
Cancellation under an applicable statutory cooling-off right ends the parties' obligations to continue performing the cancelled contract, subject to the legal consequences of cancellation. It is not delayed until Stripe finishes processing the refund.
Cancellation under section 8 or 9 also ends the paid plan when you notify us clearly that you are exercising that right. We will acknowledge your notice in a form you can keep. No further recurring charge will be due under that cancelled plan.
For a valid claim under section 8 or 9, we reimburse you without undue delay and no later than 14 days after the day we receive your notice. We use the original payment method unless you expressly agree otherwise and charge no refund fee.
Statutory refunds outside those contractual promises are handled under the applicable law, including its amount and deadline requirements. A legal remedy for a service problem does not necessarily end the whole contract; we will explain the remedy and any continuing access.
An export or recovery facility may continue after paid access ends. Cancelling payment does not itself withdraw data-processing consent or constitute an erasure request. You can make those requests separately without paying for another plan.
11.Stopping future renewal
You may stop renewal at any time before the next payment is due. Use “Cancel plan” in Plan and billing and complete the steps, or send us a clear request at [email protected]. We will confirm the date the paid plan ends.
Stopping renewal normally leaves paid access in place until the end of the period already paid for. It does not automatically request a change-of-mind refund. If your request is unclear, we will clarify it without depriving you of a cancellation or refund right you have already exercised in time.
Outside sections 8 and 9, we do not offer a partial refund solely because you decide to stop renewal during a monthly or yearly period. Refunds and other remedies remain available where required by law or expressly promised in these terms.
12.Failed payments and price changes
If a payment fails, we may notify you, seek payment again and restrict editing if the amount remains unpaid. We will explain the account status and options to resolve it. A provider retry does not authorise a charge after an effective cancellation.
We will not increase the price for a period you have already paid for. Any proposed increase applies no earlier than your first renewal after at least 30 days' notice identifying the new total and its effective date. You can stop renewal before that date without a cancellation fee.
An increase must reflect a stated reason, such as a change in the cost of providing the service, an applicable tax or a material change to the service you choose. A price-change notice does not remove a right arising from an unfair term or another legal protection.
14.Downloads, ended plans and account closure
The account download provides an archive of your records and stored supporting files, including retained record history that forms part of your account. If a file cannot be retrieved or the archive is incomplete, tell us. We will investigate and explain the available correction or recovery; we will not describe a known incomplete download as complete.
The archive is separate from your rights to request personal-data access or portability. You can make those requests at [email protected].
After a trial or paid plan ends without account closure, editing stops and you have 90 days to view and download your records. We tell you the deletion deadline when that period starts and send reminders 30 and 7 days before it. Signing in alone does not extend the deadline. If you resubscribe before deletion, your records are preserved and paid functions resume. After the deadline we schedule deletion of the professional records and files, subject to the limited exceptions explained in the privacy notice.
You can close your account through Plan and billing or ask us for help. Closure stops renewal, ends any remaining subscription and switches off all share links. It does not forfeit an existing refund claim. Download the records you want to keep before closing.
After closure you can sign in to download or reopen the account until the earlier of 30 days after closure and any existing record-deletion deadline. We show the applicable deadline and schedule deletion after it. Reopening does not restart a paid subscription, revive revoked share links or, by itself, extend an existing deletion deadline. Once deletion has taken place, recovery may no longer be possible.
An erasure request is different from account closure. You can ask us to erase data sooner. We will assess the request without requiring the recovery window to expire and explain any lawful exception for particular information. The privacy notice explains retention and backup treatment.
15.Changes to the service and terms
We may make reasonable updates to maintain security, meet legal requirements, fix errors or improve the service. We will not use this clause to remove the substance of a prepaid plan without an appropriate remedy.
If a planned change materially reduces a feature or benefit you have paid for, we will give at least 30 days' notice describing the change and your options. You can end the affected plan before the change takes effect and receive a proportionate refund for the prepaid time you will not receive.
Changes to these terms must be reasonably related to those purposes or to a clearly explained change in how the service operates. We will notify you at least 30 days before a material change takes effect. For a detrimental change, you can end the affected plan and receive the same proportionate refund for unused prepaid time. We will obtain express agreement where the law requires it rather than treating a notification as consent.
A necessary urgent security or legal change may take effect sooner. We will explain it as soon as we lawfully can, limit it to what is necessary and preserve any refund or other remedy due.
16.Suspension and ending the service
We may restrict or suspend access on reasonable grounds where necessary to protect data or the service, investigate suspected serious misuse or comply with the law. Any restriction must be proportionate in scope and duration. We will tell you the reason and how to seek review unless doing so is unlawful or would undermine a necessary protective investigation.
For a breach that can reasonably be put right, we will normally give you notice and an opportunity to correct it before ending the account. We may act immediately for serious unlawful conduct, a material security risk or a legal requirement. Contact [email protected] if you believe an action is mistaken.
We will provide a reasonable opportunity to retrieve lawful records where this can be done safely and lawfully. We will not retain prepaid fees for service we choose not to provide unless a lawful entitlement justifies the particular amount. Any damages or other claim must be dealt with lawfully and not through an automatic penalty.
If we stop providing Personal generally, we will give at least 60 days' notice, stop future renewal, refund unused prepaid time and provide a download opportunity until the end of that notice period, subject to necessary legal or security restrictions.
17.Service quality and remedies
We will provide the service with reasonable care and skill and in accordance with the information about it that forms part of your contract.
If we fail to do so, you can ask us to put the problem right within a reasonable time and without significant inconvenience. Where correction is impossible or we fail to achieve it within those limits, you can seek an appropriate price reduction or refund, which may be the full price where justified. We give these contractual protections to all Personal customers, as well as honouring applicable statutory rights.
For a price-reduction refund that we agree is due, we reimburse without undue delay and within 14 days beginning with the day we agree your entitlement, using the original payment method unless you expressly agree otherwise and without a refund fee. A legal rule giving a better remedy prevails.
A notice about user responsibility or email limitations does not exclude our reasonable-care duty. A commercial refund deadline does not end your right to raise a service defect.
18.Our liability
We are responsible for loss or damage that is a foreseeable result of our breach of these terms or our failure to use reasonable care and skill. Loss is foreseeable if it is an obvious consequence or both of us knew when the contract was made that it might result.
We do not exclude foreseeable loss merely because it relates to your professional work or earnings. Whether a particular claimed loss is recoverable depends on the circumstances and applicable law.
We do not exclude or restrict liability where the law does not allow it, including death or personal injury caused by negligence, fraud, or rights and remedies that cannot lawfully be excluded. Nothing here removes a right to compensation or another remedy under data-protection law.
19.Complaints
Email [email protected] or write to our postal address. Explain what happened and the outcome you seek. You do not have to use a special form. We will investigate fairly, tell you the outcome and explain any further complaint or dispute-resolution route that is applicable to us.
If we are required by law or contract to participate in an alternative dispute-resolution arrangement, we will tell you about that route when communicating our complaint outcome. This does not require you to give up a right to bring a claim.
Privacy complaints and data-rights requests are also covered by the privacy notice. A complaint does not pause or remove a cancellation right, so tell us clearly if you also wish to cancel.
20.Applicable law and courts
These terms are governed by the law of England and Wales, subject to mandatory law that applies to you and cannot lawfully be displaced by that choice.
You may bring a claim in the courts of England and Wales. If you live in Scotland, Northern Ireland, Jersey, Guernsey or the Isle of Man, nothing in these terms prevents you using a local court that has jurisdiction or relying on mandatory protection applicable there. We will not use this clause to require a consumer to bring a claim only in England and Wales where the law gives a different right.
The cancellation instructions distinguish relevant territorial rules. Our contractual promises do not state that UK legislation is the local law of an island. If a court decides a provision cannot be enforced, the remaining provisions continue so far as they can lawfully do so.
21.How to cancel
You may cancel your first paid contract within 14 calendar days after the day it is made, without giving a reason. Every Personal customer receives that contractual benefit. A covered first payment, yearly renewal or payment for switching to yearly also has the separate commercial refund period in section 9 of the terms.
To cancel, inform OneProof Ltd, trading as SkillProof, by a clear statement sent to [email protected] or to 124 City Road, London, EC1V 2NX, United Kingdom. You can use the form below but do not have to. You may also use an appropriate available account control.
To meet a cancellation deadline, it is sufficient to send your communication before it expires. Keep a copy of your notice. We will not require you to give a reason or separately request a refund due as a consequence of statutory cancellation.
22.UK consumer cancellation
For a UK consumer distance service contract, the normal statutory period ends at the end of 14 days after the day the contract is entered into.
If required information about the right to cancel was not provided, the cancellation period can be extended. If that information is provided within the relevant 12-month extension window, the period normally ends 14 days after you receive it; otherwise it can continue until 12 months after the original normal deadline. We will honour the period that the law gives you.
If you request early performance and later cancel outside a contractual full-refund entitlement, the law may permit a proportionate charge for the service supplied up to cancellation. This is permitted only where its conditions, including the required prior information and express request, have been met. No such usage deduction is made under our initial contractual 14-day right or additional covered-payment promise.
23.Jersey, Guernsey and Isle of Man consumer cancellation
Where Jersey's Distance Selling Law applies to a service contract, its normal period is seven working days starting the day after conclusion where the required written information was supplied by conclusion. Later or missing information can extend it. With late information, it can run for seven working days after receipt, subject to the Law's rules; without the required information it can extend to three months and seven working days. The local early-performance rules differ from the UK rules.
Where the Trading Standards (Fair Trading) (Guernsey) Ordinance 2023 applies to your distance service contract, the normal cancellation period is 14 days after the day the contract is made. Missing prescribed cancellation information can extend it by up to 12 months beyond the normal deadline. If the required information is supplied during the relevant extension window, the period normally ends 14 days after you receive it. We honour the period applicable to your contract.
For a consumer distance service contract to which the Isle of Man Consumer Protection Act 1991 provisions apply, the normal cancellation period is seven working days starting the day after conclusion where the required information was supplied by conclusion. If the information is supplied within the relevant three-month window, the period ends seven working days after receipt. Where it remains missing, the period is three months and seven working days after conclusion. Its early-performance rules also differ from the UK rules.
Working days for an island period exclude the weekends and holidays excluded by the applicable local law. We do not shorten an island statutory period by applying the commercial United Kingdom calendar-day calculation.
For our initial contractual right, starting the service does not remove that right. We also do not rely on an early-start agreement to defeat a longer mandatory cancellation right. Where the law gives a longer period or a more favourable outcome, we honour it. Our additional covered-payment promise does not give an ordinary monthly renewal a new change-of-mind refund right.
24.Cancellation effects and reimbursement
If you validly cancel under the initial contractual right or additional covered-payment promise, we refund the covered sum in full, subject only to amounts of that same payment already refunded and the removal of overlapping unused credit. Reimbursement is without undue delay and no later than 14 days after the day we receive your notice, by the original payment method unless you expressly agree otherwise, with no refund fee.
For a statutory cancellation, we refund the amounts and within the deadline required by the applicable law. Our contractual 14-day reimbursement commitment applies to refunds under the two promises above even where local law would allow longer.
A statutory cancellation takes legal effect without waiting for payment-provider processing. We stop further recurring liabilities under the cancelled plan. A separately available record-download arrangement and any necessary lawful retention are explained in the terms and privacy notice.
25.Cancellation form
Complete and return this form only if you wish to cancel. You may instead send another clear statement. The account email is to help us identify the account and is not a condition of a valid statutory notice.
