When you use a shared link we record relevant access events, such as page opening, PIN attempts and PDF downloads, with the time, a keyed hash of IP information and the browser user agent. Technical providers may receive connection information in delivering the page. The application hash is not a promise of anonymous processing. We do not ask for your name, and recorded events do not prove a named person viewed a record.

We use proportionate information for security, misuse investigation and to show the account holder how their link was used. Our UK basis is legitimate interests in those purposes, subject to necessity and balancing. The Personal privacy notice explains providers, international processing, retention criteria and your rights, including objection and complaints. Ordinary viewer and security events are kept for 90 days, then deleted or effectively anonymised, unless particular incident evidence is justifiably needed longer. Short-lived abuse-prevention counters have their own shorter window.

A link, and PIN where set, gives access to the selected information. Do not assume that holding it grants unrestricted authority to use the records. If you use a copy for an organisation, that organisation is responsible for its own use and retention and needs any applicable health or criminal-data conditions. If data-protection law applies to your own use, you must meet those obligations.

Expiry or revocation stops future access through the link; it does not remove copies you have already saved. Do not keep or forward copies longer or more widely than you are entitled to.
